Shift Scheduling Home

Introduction

This website provides a simple tool to help you construct shift schedules. Specifically, it is designed for managers/coordinators who have:

  1. a list of roles that need to be filled,
  2. a list of dates on which those roles need to be filled, and
  3. a list of team members who are willing to fill the roles (with varying availability and capabilities).
The tool will help you collect the relevant data and automatically generate a proposed schedule.

Key Features

  • Once you define your roles and dates, the tool automatically generates a sign-up survey that you can distribute to your prospective team members as a link or a QR code.
  • The sign up survey allows your team members to specify the dates on which they are available as well as the roles that they are willing to fill.
  • Whenever someone signs up, you will be notified via email. You can also check the list of signed up team members at any time by logging in.
  • You can generate a schedule as soon as you think you have a reasonable number of team members signed up. You can also generate more schedules as more team members sign up.
  • The generated schedules can be downloaded as CSV files, so that you can format and modify them as much as you like.
  • This tool is 100% FREE!

Example Uses

  • Scheduling employee shifts at your workplace.
  • Scheduling who performs what duties in a church service.
  • Scheduling volunteers shifts for your non-profit organization.

Process Overview

The process of generating a schedule can be broken into six main steps:

  1. Define the roles that need to be filled.
  2. Define the dates on which they need to be filled.
  3. Generate the sign-up survey link and QR code.
  4. Share the sign-up survey with your prospective team members.
  5. Confirm you've got enough team members signed up.
  6. Generate a schedule.
The tool will guide you through each of the steps. The most time-consuming part will probably be waiting for your prospective team members to respond to the sign-up survey.
